Frequently Asked Questions

Everything you need to know about QuickFlow's AI document processing and WhatsApp automation services.

AI Data Capture

You send documents to QuickFlow via API, email, or WhatsApp. Our AI reads the document using OCR, extracts the relevant data fields, validates the results, and either updates your source system through its API or sends you a structured email with the extracted data. A page is counted once, the first time it is processed.

We process a wide range of documents including certificates of balance, acceptances, counteroffers, proposals, and other business documents at R0.50 per page. For structured forms with tick boxes and fields (such as Form 16), the rate is R2.00 per page due to the advanced analysis required.

QuickFlow accepts documents through three intake channels: directly via API integration, via email to a dedicated inbox, or via WhatsApp. You can use one or all channels depending on your workflow. The AI processing is the same regardless of how documents arrive.

Once data is extracted and validated, QuickFlow delivers the results in one of two ways: an API update directly to your source system (such as your CRM or case management software), or a structured email containing the extracted details. The delivery method is configured during onboarding.

Yes. Beyond our standard data capture service, we build custom AI bots tailored to specific business needs. These are scoped and quoted on a case-by-case basis. Contact us to discuss your requirements.

WhatsApp Automation

WhatsApp Business API fees are billed directly by Meta. Your QuickFlow subscription covers the platform, chatbots, AI messages, data storage, and integrations — the WhatsApp messaging costs are separate and go straight to Meta.

We review your volumes monthly and automatically apply the best package for your usage — so you always get the cheapest option based on your actual needs. All plans are month-to-month with no long-term lock-in.

Yes. WhatsApp serves as both a standalone chatbot channel and a document intake channel for the AI Data Capture service. Customers or staff can send documents via WhatsApp, which QuickFlow then processes using AI — the same as documents received via API or email.

General

For AI document processing, setup depends on your source system's API and document types — typically 2–4 weeks. For WhatsApp chatbots, most can be designed, built, and deployed within 2–4 weeks depending on complexity. Onboarding is handled by our professional services team at Servsol Software Solutions.

No. All QuickFlow agreements are month-to-month unless otherwise specified. You can cancel with 30 days' written notice. Your data will be exported and made available for 30 days after termination.

Yes. The two services complement each other — for example, customers can send documents via WhatsApp which QuickFlow then processes using AI. You can also use them independently. Each service has its own pricing.

Yes. All data is encrypted in transit and at rest using industry-standard security measures. You retain full ownership of your data, we never sell or disclose it to third parties, and we comply with POPIA and data protection standards.

QuickFlow integrates with your source systems via their APIs. For document processing, we update your system directly with extracted data. For WhatsApp, we connect to CRMs, billing and payment systems, ticketing and helpdesk platforms, and custom APIs and workflows.
